Property Administrator
Exciting Opportunity for someone to join our award winning letting agency as a Property Administrator.The successful candidate will have a pivotal postion within the company handling a busy front line administational role. Representing Redbrick Properties the new recruit will have a fantastic opportunity to shine and progress within the company.
The candidate will have ideally previous letting experience, have excellent organizational skills and the ability to communicate in a professional and enthusiastic manner
Job Description
Property Management – Representing the Redbrick Brand by making sure tenancies are overseen in a professional manner. Organising mid-term inspections, Organizing and arranging tenant re-signs and any property certificates. Produce and send out tenant notices & helpful information. Responding to Utility companies letters determining who is responsible to pay
Office Administration – Dealing with general enquiries and filtering such enquiries to the relevant individuals. Maintaining a high level of personal and office administration thereby achieving a high standard of property management for all clients. Providing administrational assistance to all clients, Redbrick staff and it's Directors. Recording and paying office and client invoices. Responsible for Diary management of the company. Overseeing the post and responsible for replenishing the stationary. Management of the offices filing system including archiving. Updated the key list and singing key’s in and out.
Generating Viewings – Taking details and discussing options with potential viewer by phone, in person or via email. Having a detailed knowledge of the property rentals list to enable an efficient match up of potential tenant to suitable properties.
Property Contract Signing – Assisting tenants in the signing of all legal documentation in relation to their tenancy. Make sure all details are correct and the landlord has been informed at the initial application stage chasing up missing documentation and ensuring contracts are complete. Carrying out credit checks and employment/landlord references where required. Documenting communication between agent, landlord and tenant.
Registering Tenants Deposits - Protecting/un-protecting deposits with the Tenants Deposit Scheme for landlord within the given timescales, also dealing with tenants disputes regarding deposit deductions. Informing the tenants of any potential deductions and where necessary.
Expert Agent Management – Using and inputting data onto Expert Agent as a property management tool for keeping records of tenancies, paying contractors, accounting and maintenance if necessary. Sending out managed landlord statements with scanned invoices to landlords.
